On Q Property Management, LLC (“On Q” or “we”) is committed to safeguarding the personal information (“Personal Information”) of visitors to our website, which we use to facilitate transactions between Tenants, Property Owners, and On Q. The following statement (“Privacy Policy”) sets out the principles governing our use of Personal Information that we might obtain about you when you access our website (the “Website”) and when you use the associated services. The Website and the services we provide online are collectively referred to as the “Services.”
Collection of Information
When you use the Services, we collect various categories of Personal Information, which will generally include information that you provide to us directly as well as information that we collect automatically.
Information You Provide Directly
Basic Information. When you use the Services, we will collect information that you provide to us via the Website and via any agreements you’ve entered into with respect to the Services. This information may include, for example, your first name, last name, residence address, phone number, e-mail address, and information about your residence. For residents, it may also include date of birth and Social Security number. Property Owners may also provide On Q with certain information about Tenants. We may also collect financial information from you necessary to facilitate online transactions related to the Services.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the stated categories in this privacy policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Rental Applications and Screening. When you apply to rent a home, you apply on our screening provider’s website. We receive the information in your application, such as your name, contact details, income, employment and rental history, references from previous landlords, housing voucher status, the names and dates of birth of minors who will live in the home, and details about vehicles, including license plates, and pets, together with the screening results, such as your credit score and credit, eviction, bankruptcy and criminal history checks. We use this information to evaluate your application.
External Sources. We may receive Personal Information from lead marketplaces and the services we use to list homes and schedule tours.
Information We Collect Automatically
Cookies. We employ cookies on the Website. A cookie is a small encoded text file sent between a web server and web browser when you visit the Website. That file is stored on the hard drive of the device used to access the internet, and will be accessed when you revisit the website that created the cookie file. Your web browser uses the information stored in the cookie to make navigating the website easier, such as automatic login and other functions and preferences. Cookies come in many flavors. Functional cookies ensure that certain parts of the Website work properly. By placing functional cookies, we make it easier for you to visit our Website and use the Services. We may place these cookies without your consent. Analytical cookies are used to optimize the Website experience for our users. Through the use of analytical cookies, we receive insight into the usage of our Website. We do not offer a cookie settings tool on our Website. You can block or delete cookies in your browser settings, and you can opt out of interest-based advertising as described under Opting out below.
Other Technologies. We may use clear GIFs, pixel tags, and other such cookie-like technologies to track the activities of users of our Website and to compile statistics about the use of our Website.
Log files. Our servers may automatically record information related to your use of our Website, which may include information such as your IP address, browser type, operating system, mobile device type, diagnostic information, referring web page, and other web pages visited.
Session Recording and Error Tracking. We use session recording tools to see how visitors use our Website, including pages viewed, clicks and scrolling, to improve the Website and fix errors. These recordings may include text shown on the page, including chat messages. We set these tools to mask what you type into form fields. Rental applications and payments are made on other companies’ websites, which these tools do not record. Our error-tracking service may also receive the details of some requests to our Website, including what was submitted and your IP address, for example when an error occurs.
Use of Information
We use the information detailed above for a variety of purposes, including: providing our services to you, managing customer relationships, facilitating certain transactions inherent to the Services, responding to your inquiries, enforcing our terms of use, personalizing your experience on the Website, measuring and improving our Website and advertising, and engaging in marketing activities, such as providing newsletters, publications, updates, and other information that we believe might be of interest to you.
Pursuant to the Services, Personal Information may be shared between a Tenant, the Property Owner, On Q, and other affiliates and third parties that assist On Q in providing its Services. On Q may use Personal Information to process Services.
With respect to marketing activities, certain information that you provide to us, such as your first name, last name, company name, residence address, e-mail address, physical address, and phone number may be aggregated with other such data in one or more contact lists. We may then use these contact lists to send you information regarding our services via an automated mailing system. These contact lists may be integrated into our client relation management (CRM) system and/or our internal e-mail contact lists.
Sharing of Information
Outside of the above, we share Personal Information only as follows:
We may share, on a limited basis, Personal Information with our service providers, suppliers, subcontractors, third parties, and affiliates so that they can assist us in the maintenance of our Website and Services. We may also share Personal Information with financial institutions in connection with invoicing, payments, and other financial transactions necessary to accomplish the Services.
We share identifiers, device and browsing information, and hashed names and email addresses with advertising and analytics partners to measure and deliver our ads, as described in the Advertising and Analytics section. These partners may also use this information for their own advertising. You can limit how they use it with the tools listed under Opting out.
If a lease includes our Resident Benefits Package, we share the names, contact details, address, and lease, rent and payment details of the people on that lease’s account with the providers of its insurance and credit reporting, and may also share their dates of birth and Social Security numbers with them. If a lease in Dallas or Austin uses a security deposit alternative, we share the account name, address, and lease and rent details for its insurer’s reporting.
We may disclose your personal information to comply with any court order, law or legal process, including to respond to any government or regulatory request; to enforce or apply our terms of use and other agreements, including for billing and collection purposes; if we believe disclosure is necessary or appropriate to protect the rights, property, or safety of ourselves, our clients, or others.
Website Accounts
You can create an account on our Website by signing in with your Google account. When you do, we receive your name, email address and profile picture from Google. We use this information to create and manage your account and to contact you about it. We may also create a record in our customer relationship system with your name, your email address and how you reached our Website, such as the page or ad that referred you, and send you a welcome email about renting with us. We keep a log of account creation and sign-ins with your email address and IP address. Your account shows the homes you save and the rental applications linked to your email address. Access to Information

Third Party Websites and Links
We may provide links to third-party websites, services, plug-ins, content, and applications that are not operated by us. This Privacy Policy does not apply to such services, and we do not take responsibility for the privacy policies, content, or practices of those services and websites.
Advertising and Analytics

We and third-party vendors, including Google, Meta, Microsoft, Reddit, Spotify, MNTN and OpenAI, use cookies, pixels and similar technologies to measure visits, compile data about interactions with ads, and deliver and measure advertising. We use Google Analytics, including its advertising features. Some of these vendors, including Google, Meta, Microsoft and MNTN, may use the information they collect from our Website and elsewhere on the internet to measure and target ads. We also use Google reCAPTCHA to protect our forms from spam and abuse. The chat on our rental search pages comes from Dialpad, which sets its own analytics cookies when those pages load.
When you submit a form, our advertising partners may receive the contact details you enter, such as your name and email address, in hashed form, which means they are scrambled one way before they are sent. Hashing does not make the information anonymous; our partners use it to match you to their own records so we can measure our ads. We may also send them the form submission event, with technical information such as your IP address and browser.
Opting out
You can set preferences for how Google advertises to you at myadcenter.google.com, block Google Analytics with the Google Analytics Opt Out Browser add-on at tools.google.com/dlpage/gaoptout, and opt out of interest-based advertising at optout.aboutads.info and thenai.org/how-to-opt-out. You can adjust how Meta uses your information for ads in your Meta ad preferences, and manage Microsoft ads at account.microsoft.com/privacy/ad-settings.
Data Retention
We store the information we collect about you and/or your real property for as long as is necessary for the purposes for which we collected it, and in accordance with our legal obligations and/or legitimate business interests.
Sensitive Information
Do not send us any information related to your Race, Color, National Origin, Religion, Sex (including gender identity and sexual orientation), Familial Status, and/or Disability, beyond what a rental application asks for, such as the people and any service animals that will live in the home.
Children
Our Services are not directed to anyone under 18. Except for the names and dates of birth of minors who will live in the home, which rental applications may include, we do not knowingly collect Personal Information from anyone under 18.
Residents of the European Economic Area
Our Services are not directed to the processing of Personal Information of data subjects who are in the European Economic Area (“EEA”) at the time of data collection. That is, any processing activities performed by the Website are not directed to the offering of goods or services to data subjects in the EEA or monitoring the behavior of such data subjects in the EEA.
Nevertheless, if you are located in the European Economic Area (“EEA”), you may have certain additional rights and protections under the EU General Data Protection Regulation (“GDPR”) regarding the processing of your personal data. If any terms in this section conflict with other terms of this Privacy Policy, the terms in this section shall apply to individuals located in the EEA when the Personal Information is collected or processed.

Specifically, pursuant to California Civil Code 1798.83 (the “Shine the Light” law), we will provide you a list of the categories of Personal Information disclosed to third parties for their direct marketing purposes during the immediately preceding calendar year, along with the names and addresses of these third parties. CAN SPAM Act
The CAN-SPAM Act is a law that sets the rules for commercial email, establishes requirements for commercial messages, gives recipients the right to have emails stopped from being sent to them, and spells out tough penalties for violations.
We collect your email address in order to:
- Send information, respond to inquiries, and/or other requests or questions
- Sign you in to your website account, and share it in hashed form with advertising partners to measure our ads
To be in accordance with CAN-SPAM, we agree to the following:
- Not use false or misleading subjects or email addresses.
- Include a clear and conspicuous identification that the message is an advertisement or solicitation.
- Include the physical address of our business or site headquarters.
- Allow users to unsubscribe from marketing emails by using the link at the bottom of each marketing email.
